Subsidies for Publication-Related Expenses
(Publication Fee & Proofreading Fee)


To promote the publication of research conducted at NAOJ, the Publications Committee offers subsidies for the following publication-related expenses:
(A) Paper Publication Fees
(B) English Proofreading Fees
Please read the following explanation carefully before submitting your application.
Note: Due to budgetary constraints, the details of the subsidy may be revised midway through the fiscal year.


(A) Subsidy for Paper Publication Fees

Eligible Applicants & Applicable Papers

  1. Individuals engaged in research or technological development at NAOJ [Note 1] may apply for a subsidy for the publication fee of peer-reviewed, first-authored papers. An individual can submit one application per fiscal year [Note 2].
    - NAOJ staff (including those whose salary is at least 50% covered by NAOJ)
    - Graduate students
    - JSPS Postdoctoral Fellows
    - NAOJ/EAO/EACOA Fellows
    - Researchers employed by NAOJ staff
    - Emeritus professors
    - Visiting or Special Visiting Faculty (with a substantial record of work at NAOJ)
  2. NAOJ staff (including those whose salary is at least 50% covered by NAOJ) may also apply for a subsidy for the publication fee of peer-reviewed, co-authored papers where the first author is not an NAOJ member. However, only one application per fiscal year will be accepted in total. In other words, applicants cannot apply for subsidies for both first-authored and co-authored papers within the same fiscal year.

※In all cases, the affiliation of NAOJ must be stated in the paper.

[Note 1: Publication after leaving NAOJ]
Applications for publication fee subsidies may be accepted for up to one year after the applicant has moved to another institution (except for Visiting or Special Visiting Faculty). In this case, an NAOJ faculty member must carry out the administrative procedures on the applicant's behalf. Please specify the NAOJ co-author (or the supervisor in the case of students) who will handle these procedures. If no one is available to manage this, please consult with the Publications Committee.

[Note 2: Bonus for PASJ]
Only for publications in PASJ, subsidies may be provided for more than one first-authored paper due to the lower publication fee. Please consult with us.


Additional Conditions

Papers that receive a subsidy must be featured in the "Research Highlights" of the following fiscal year. [Note 3]

If a paper that received a subsidy is not featured in the "Research Highlights" of the following fiscal year, the priority for new subsidy applications will be reduced.


Rules

  • In principle, an individual can submit only one application per fiscal year [Note 2].
  • The maximum subsidy amount per application is 500,000 yen.
  • The subsidy covers the publication fee, excluding the open access fee.
  • For journals where open access fees are charged separately (e.g., PASJ, Nature, and Science), the open access fees are not eligible.
  • For journals that are open access by default (e.g., AAS journals and A&A), 30% of the publication fee is considered as the open access fee and is not eligible; the remaining 70% is eligible for subsidy.
  • Publication fees for MNRAS are not eligible. Publication at MNRAS was free of charge previously and has been charged since the journal became open access, so the current fee is effectively considered as the open access fee.
  • For other journals, please consult with us.
  • Due to budget limitations, please prioritize any alternative funding sources when available.
  • For AstroBiology Center (ABC) staff: please apply for the dedicated subsidy.
  • For research using ALMA: please apply for the dedicated publication subsidy.
    ※Note: This subsidy prioritizes applications from young researchers. Young researchers are particularly encouraged to apply for this option first.
  • For research using CfCA resources: please apply for the dedicated publication subsidy.
    ※Note: This subsidy is up to 100,000 yen (200,000 yen for graduate students). The shortfall may be applied for through the Publications Committee subsidy.

Application Procedures

Once a paper has been accepted and you begin handling the publication fee procedures, please contact the Publications Committee (chair.pubcom@ml.nao.ac.jp) with the author name(s), paper title, journal name, and estimated cost. Then, follow the instructions provided by the committee.




(B) Subsidy for English Proofreading Fees

Eligible Applicants & Applicable Papers

The eligibility criteria and applicable papers are the same as those for (A) Paper Publication Fee, except that the paper does not need to be peer-reviewed.

Additional Conditions

The applicants may be asked to participate in a survey about their experiences with English proofreading services. In such cases, responses are required.

Rules

  • The Publications Committee will, in principle, cover the English proofreading fee only once before submission. Therefore, please ensure that your manuscript is thoroughly revised before applying.
  • However, if reviewers or editors request additional English proofreading for acceptance, you may apply for an additional subsidy.
  • If a paper that has already undergone proofreading before submission requires further proofreading, the applicant must make the second request distinguishable from the first (e.g., by adding a version number or annotations such as "Revised Version" or "For Printing" to the title) to prevent duplicate submissions for the same paper.
